Building a Unified University’s Information Portal

Overview

A famous university, known for its academic prowess, saw the critical need to update its old web portal. The education system in the university consisted of students, staff, and administrators. Also, the goal was to offer seamless academic information with a unified platform. It also facilitates communication among students and provides access to resources. The institution also wanted to simplify administrative operations and increase user satisfaction across all stakeholders. We created a powerful solution that meets these aims while remaining compatible with existing academic systems, leveraging Drupal’s adaptability and scalability.

Our Process

Key requirements included creating a single dashboard for various user roles, ensuring seamless connection with the university’s academic systems, and providing administrators with an intuitive content management system. Based on these findings, we created a path for delivering a solution that prioritized user experience, efficiency, and scalability.

1
Assessing needs

Through interviews and workshops with stakeholders, we identified key challenges, including fragmented access to materials, lack of real-time updates, and communication gaps.

2
Planning

The portal featured automated notifications for deadlines and events, with training sessions to help users adapt to the new system.

3
Portal Development

A role-based interface enabled easy navigation, providing students and educators with access to schedules, events, and academic resources.

4
User Training and Testing

Comprehensive training for all users and rigorous testing ensured compatibility with existing systems and optimal performance during high traffic.

The Problem

The implementation of the new gateway faced significant hurdles in system integration and user adoption. Integrating the portal with existing university systems required careful planning, backend development, and rigorous testing to ensure accurate data flow. Continuous testing and incremental changes were required to eliminate errors and ensure data accuracy. To address this, we implemented a staggered rollout to instill confidence in the new platform.

Project Challenges

System Integration

The integration of the new gateway with the university’s existing systems was a substantial difficulty. Ensuring smooth data flow between platforms, such as the academic scheduling system and the resource library, necessitated rigorous planning and strong backend development. Continuous testing and incremental changes were required to eliminate errors and ensure data accuracy.

User Adoption

Getting stakeholders to switch from the old system to the new portal necessitated meticulous planning. Resistance to change, particularly among faculty and administrative staff used to the prior system, posed a challenge. To address this, we implemented a staggered rollout, together with continuous support and training sessions, to instill confidence in the new platform.

Results

This case study demonstrates the transformative power of a well-designed information portal. By addressing user concerns and exploiting Drupal’s powerful features, we developed a solution that not only modernized the university’s operations but also improved the academic experience for all stakeholders.

Increased Student Engagement

The revised portal increased student interaction with academic resources by 40%. The unified dashboard, real-time updates, and straightforward navigation all improved the user experience, making it easier for students to obtain critical information.

Enhanced Communication and Productivity

The new technology simplified internal communication, removing the need for fragmented email chains and human alerts. Faculty and administrative workers noted increased productivity since the portal allowed them to focus on strategic goals rather than regular administrative labor.

Reduced Administrative Workload

The consolidated and automated solution reduced administrative workload by combining data and workflows. Event scheduling, resource management, and academic planning were more efficient, allowing administrators to focus on larger initiatives.
